Supplier Onboarding & Compliance

Vetting, documents and renewals in one place per supplier.

Supplier Onboarding & Compliance

The situation

Certifications expire quietly. The check happens once at onboarding, the renewal date goes into somebody's calendar, and that person changes role. The gap does not turn up when it opens. It turns up in an audit, or on the day the supplier is needed most.

What you end up with

One supplier record with its documents attached Expiry and renewal tracked, not remembered Compliance status you can report on directly

As a marketplace item

Out of the box

Each supplier has one record carrying its contacts, its sites and its documents. Certifications are held with their expiry dates, and reminders and escalation run from those dates rather than from a calendar entry someone made and forgot. Vetting questionnaires are scored on the record, so the reason a supplier was approved sits beside the approval itself. Compliance status can be reported across the whole base at once, which turns an audit question into a query rather than a project.

What typically gets tailored

The supplier record, the document library and the renewal engine are built. The tailoring is your own standard: what you ask a supplier before you approve them, which certifications you genuinely require rather than nominally collect, and what score is good enough. Procurement then picks the approved supplier up from wherever it already works.

Frequently asked questions

What is the BuildPad Supplier Onboarding & Compliance template?

The BuildPad Supplier Onboarding & Compliance template is a production-ready application that keeps one record per supplier with its certifications attached, and tracks each one to its expiry instead of to somebody's calendar. It is a working application rather than a scaffold, and a build starts from it and is tailored to your data, your processes and your rules.

How long does a Supplier Onboarding & Compliance build take?

A Supplier Onboarding & Compliance application built from the BuildPad template typically takes 2-4 weeks. That is a working estimate rather than a quote, and it depends on how much of your process differs from the base.

What does the Supplier Onboarding & Compliance template include out of the box?

The BuildPad Supplier Onboarding & Compliance template ships with supplier records with contacts and sites, a document library per supplier, with expiry dates, renewal reminders and escalation, vetting questionnaire and scoring and compliance status reportable across the base. Role-based access control, policies, permissions and audit logs are part of every BuildPad build as well.

Can the Supplier Onboarding & Compliance template be tailored to our process?

Yes. What usually gets tailored on a Supplier Onboarding & Compliance build is your vetting questionnaire and thresholds, the certification types you actually require, the hand-off to your procurement system and your category and spend structure. The data model, the roles, the workflow and the audit trail are already built and tested, which is why the estimate is weeks rather than quarters.

What software does Supplier Onboarding & Compliance replace?

The BuildPad Supplier Onboarding & Compliance template typically stands in for supplier management and vendor portal subscriptions. Instead of a per-seat subscription shaped around someone else's process, you get an application shaped around yours, running in your own cloud, with the source code yours to keep.
